Why CRM sticker prices mislead

Every CRM vendor publishes a per-seat price. Almost none of them publish the number that decides your budget: what the same seats cost on the billing cycle you will actually use, and what changes the month a feature you need moves a tier up.

We priced eight small-team CRMs three ways — entry tier billed annually, the same entry tier billed monthly, and the mid tier most teams graduate to within a year — and recorded the extras vendors list separately: onboarding fees, add-on bundles and contact tiers. Everything below is from vendor pricing pages in September 2026, excluding tax.

The annual-versus-monthly penalty, per seat

This is the least published table in CRM pricing. Staying month-to-month costs nothing in flexibility and a lot in cash:

The pilot trap: starting month-to-month to "stay flexible" is right, but a 10-seat team that forgets to convert on Zoho Standard gives up roughly $720/year, and on Pipedrive Essential about $1,200/year. Run the pilot, then set a calendar reminder for the second invoice.

Where most teams actually end up: the mid tier

Within a year, most teams leave the entry tier for automation, custom fields or reporting. That jump — not the entry price — is the real budget line:

Read this row before choosing a platform: the Zoho-to-HubSpot gap at 15 seats is roughly $1,000/month for similar sales-CRM work. If you do not need HubSpot's marketing and service stack, the entry tier was never the comparison — this row is.

The eight vendors, briefly

1. HubSpot — best free tier, sharpest renewal

HubSpot Starter lists at $20/seat/month, or $15 on an annual commitment — with promotional first-year pricing that has recently run far below that for new customers. The promotion is where teams get caught: it applies to year one, then the bill reverts toward list at renewal, and bundled products mean contact tiers and extra seats are billed around the seat price rather than inside it. The free CRM (2 users) is the best free tier of the eight and a legitimate place to start.

Who should not start on HubSpot: teams that will need Sales Hub Professional within a year without the marketing stack to justify it. The $90/seat tier plus onboarding usually costs more than a whole year of a sales-only CRM.

2. Pipedrive — sales-first and cheapest at mid tier, expensive monthly

Pipedrive's five tiers ($14 / $29 / $49 / $64 / $99 annual) keep the entry price low and the graduation step modest, which is why it prices out well for pure sales teams. Two cautions: there is no free tier (a 7-day trial only), and month-to-month billing is the harshest in this comparison at 71% above the annual rate for the same seats. LeadBooster is a separate add-on, roughly $32.50 per company per month.

3. Zoho CRM — best value ladder

Zoho's ladder is the flattest here: $14 → $23 → $40 per seat (annual), with a free edition for 3 users and a monthly penalty of 43% at Standard. Teams that expect to need automation and process control within a year pay markedly less for that progression than on HubSpot or Salesforce. The trade is interface polish and integration quirks inside a very large ecosystem.

4. Freshsales — cheapest entry tier that is not a free plan

Growth at about $9/seat (annual) is the lowest credible paid entry price in this group, with a 22% monthly penalty — the mildest of the paid vendors. The real cost decision is the step to Pro at $39/seat, which is where sequences, AI and full reporting live. Fine for pipeline-first teams; thinner marketing than HubSpot.

5. Salesforce Starter Suite — no annual contract, and priced for it

Starter Suite is $25/seat/month whether you pay monthly or annually, with no annual commitment required — the only vendor here with no billing-cycle penalty. The catch is upward: Pro Suite at $100/seat requires an annual contract, Enterprise around $175/seat, and implementation costs of thousands appear in most real deployments. Start here if you expect to grow into the platform; avoid it if a 5-person team is the whole plan.

6. monday CRM — cheapest with a free tier, subject to seat minimums

monday CRM rides monday.com's tiers: Basic at about $9/seat annual ($12 monthly), with a 3-seat minimum on paid tiers and a free tier now capped at 2 seats. The 33% monthly penalty matches HubSpot's. Its strength is that a team already using monday for projects keeps one platform and one bill; its weakness is that CRM-specific depth (forecasting, sequences) sits higher up the ladder.

7. Less Annoying CRM — one price, no ladder

Everyone pays $15 per user per month, with no tiers and no annual discount — which also means no renewal surprise and no upgrade trap. It is the cheapest way to build a clean pipeline without a pricing decision, and the most likely to be outgrown if you need marketing automation or deep customisation.

8. Nutshell — small-team all-rounder with the steepest monthly penalty

Nutshell starts around $13/seat annually with tiers up to $79, and pairs CRM with light marketing and customer-engagement features. Its month-to-month rate is roughly 46% above the annual one, so it rewards committing early. Best fit is a small team that wants one vendor for pipeline and basic campaigns, not a sales-only specialist.

Hidden costs to budget for

How to choose in one pass

  1. Price the mid tier, not the entry tier. Write down the one feature that will force an upgrade, find the tier it lives on, and price 15 seats there. Choose on that number.
  2. Pick the billing cycle at the same time as the vendor. A cheap CRM on monthly billing can cost more than an expensive one billed annually.
  3. Pilot monthly, convert deliberately. 30 days on monthly billing, then commit — with a reminder set before the second invoice.
  4. Check the exit. Ask what an export contains and how long data is retained after cancellation before you migrate anything in.
