True Cost of SaaS

CRM Cost Calculator

Eight small-team CRMs, priced at your seat count — on annual billing, on monthly billing, and at the mid tier most teams move to within a year. The difference between those three numbers is what this calculator is for.

1. Your team

Seats are paid users, not total headcount. If a vendor enforces a minimum seat count, we charge the minimum.

2. CRMs to compare

Tick the ones you are actually considering. Unselecting everything keeps all eight in the comparison.

How the numbers are built: published per-seat rates × your seat count, on the billing cycle you selected. Annual figures are the annual-billing rate × 12, not a discounted monthly average. Mid-tier figures use each vendor's second paid tier, which is where automation, deeper reporting and custom fields usually live.
What is excluded: taxes, promotional first-year pricing, contact or marketing-contact tiers, usage-based charges, implementation and onboarding fees, and add-on bundles. Where a big one exists we name it in the notes column instead of folding a guess into the total.

How to use this before you buy

  1. Run it twice — once on annual billing and once on month-to-month. The gap is real money and it is the number vendors do not publish side by side.
  2. Read the mid-tier column, not the entry column. Teams usually leave the entry tier within a year for automation or reporting; that step decides the platform far more often than the entry price does.
  3. Check the "no free tier" rows if you are piloting. A 7-day trial on a sales CRM is not enough time to test a migration.
  4. Confirm at checkout. Rates were recorded in September 2026, promotional pricing varies by region and channel, and taxes sit on top of every figure here.
