ClickUp Pricing and Hidden Costs: What 5, 15 and 50 Seats Really Cost

What ClickUp actually charges

ClickUp is the price leader in project management software, and the pricing page says so plainly: the entry paid tier is $7 per user per month on annual billing, roughly 36% below Asana Starter and 42% below Monday Standard. What the headline number hides is that ClickUp publishes two prices for every tier, sells AI separately, and puts ceilings inside plans whose names imply there aren't any.

What 5, 15 and 50 seats cost

Below is the same product priced three ways at three team sizes. The middle block is the one that catches buyers: the monthly column looks like a rounding error per seat and is a four-figure line on the annual budget.

The free tier: generous on people, tight on everything else

ClickUp's free plan is the most generous in the category for one reason only — members and tasks are unlimited, where Asana caps free at 2 users and Monday at 2 seats. Every other useful resource is metered, and the metering is the part that shows up in your month two migration:

• 60MB of file storage per workspace, and only attachments count — tasks are free. The pricing page lists 60MB as of September 2026, while most third-party comparisons still print the older 100MB figure. Either way, one design file or a couple of recorded calls fills it.
• 5 active automation rules, 100 executions a month. That is roughly three automatic actions a day across the entire company. A single "when a task closes, notify the channel" rule burns it in a fortnight.
• 5 spaces, 40 lists per space, 1 form, 1 wiki, 3 whiteboards. Fine for one department, not for a company workspace.
• The advanced features are trials, and the trial uses never come back. Gantt, Timeline, Workload, Goals, Dashboards, Portfolios, Time Tracking and custom fields sit at "trial" on Free. ClickUp's own pricing-page FAQ states that these uses are cumulative across the workspace and do not reset — when you hit the limit you keep your data but you can no longer create or edit new items with that feature.

Where the word "Unlimited" stops being true

Unlimited refers to storage, spaces, folders, integrations, custom fields, Gantt and guest seats with permission control. It does not refer to the things that constrain a busy workspace:

The automation ladder is the real tier boundary. Unlimited's 1,000 executions a month is enough for light coordination and nothing else; the jump to Business buys 5,000. ClickUp itself puts a price on that volume — the Business card labels its 5,000 runs as "$100 in value" and Enterprise's 250,000 as "$750 in value". If your operational workflows run in the hundreds per day, the honest answer is that no self-serve tier holds them, and the automation belongs in a dedicated integration platform with ClickUp as the task layer.

The API ceiling is the second trap and it applies to Business as much as to Unlimited: 100 API calls per minute on every self-serve plan, with 10,000 only at Enterprise. Teams that sync ClickUp with a CRM, a billing system and a BI tool can exhaust that during a nightly job, and the fix is a sales conversation rather than a setting.

AI is sold per user, on top of the seat

ClickUp does not bundle AI into any base plan, which puts it at odds with the direction most project tools have taken. Both AI tiers are charged per user per month, billed yearly:

Guests, seats and the billing mechanics nobody explains up front

Guest access looks unlimited on the marketing pages. On the pricing page's own FAQ it is a formula:

The mechanics around the seats matter as much as the seats:

• Upgrades apply to the whole workspace. You cannot put one department on Business and leave the rest on Free — every member moves with the workspace.
• Internal colleagues are paid users, however you invite them. Anyone from inside your organisation counts as a paid seat; only genuinely external people can use guest seats. This is the single most common billing surprise in ClickUp's own FAQ.
• Mid-cycle additions are prorated. Adding paid users mid-term bills immediately for the days left in your cycle, which is convenient — and it means headcount creep arrives as a small invoice every month rather than one annual conversation.
• Payment is per workspace. Agencies and groups with several workspaces upgrade each one separately.
• There is a 30-day money-back guarantee on purchases, stated on the pricing page. If a Business upgrade turns out to be the wrong tier, that window is the cheapest exit you get — annual commitments otherwise run to term.

How ClickUp compares with what we have already priced

The entry-tier gap is real and it holds at scale, provided you buy annual and skip the AI add-ons:

Two caveats keep this honest. First, the comparison is only like-for-like on features both tiers actually include — Monday's Standard and Asana's Starter do not cap automation executions the way Unlimited's 1,000 does. Second, Monday enforces a 3-seat minimum and moved its rates up in February 2026, so the gap widens for two-person teams and narrows if Monday's automation volume is what you actually need.

Who should not buy ClickUp

• Anyone who needs SSO, audit logs or compliance paperwork. Google SSO starts at Business; SAML SSO, SCIM provisioning, session management, audit logs, HIPAA coverage and data residency sit behind an Enterprise quote. If your security review requires those in writing, your first conversation is with sales, not the checkout page.
• Teams attaching large files on the free plan. 60MB is a workspace limit, not a per-user one, and it fills the moment someone uploads a video or a design package.
• Operations teams running hundreds of automations a day. 1,000 executions on Unlimited and 5,000 on Business are coordination budgets. Route heavy workflows elsewhere and keep ClickUp for the work itself.
• Teams that need approval chains and formal process modelling. ClickUp is a task hierarchy with strong views; it is not a business process engine, and rebuilding an approval matrix in it is the most common way a migration stalls.
• Teams with no one to own the configuration. ClickUp rewards setup and punishes the absence of it. If nobody will spend the first fortnight defining statuses, fields and views, the tool you already have is cheaper.

Who should stay — and what to check before you commit

For a 15-person team whose work is tasks, projects and cross-team visibility, ClickUp Unlimited at $1,260 a year on annual billing is the cheapest credible option we have priced, and Business at $2,160 remains below Asana and Monday at the same headcount. Staying is the right call when your workspace is already configured, the team uses Gantt and dashboards daily, and the workflow volume sits inside 1,000 automation runs.

Before you commit, run four checks: confirm whether you are buying monthly or annual (it is the largest single lever on the invoice), count the internal colleagues you planned to add as guests, decide explicitly whether AI is in scope, and look at your attachment volume on the free tier. Those four answers, not the feature list, decide the number.

How much does ClickUp cost per user in September 2026?

Unlimited is $7 per user per month billed yearly, or $10 billed monthly. Business is $12 billed yearly, or $19 billed monthly. Free Forever is $0 with unlimited members and unlimited tasks, and Enterprise is quoted on request. ClickUp Brain AI is a separate add-on at $9 per user per month billed yearly, with the full agentic tier at $28.

What are the real limits of the free plan?

Members and tasks are unlimited. Everything else is metered: 60MB of file storage (attachments only), 5 spaces, 40 lists per space, 5 active automation rules and 100 automation executions a month, one form, one wiki and three whiteboards. Advanced features are listed as trials, and ClickUp states that these uses are cumulative and never reset — once spent, you keep the data but cannot create or edit new items with that feature.

Does ClickUp charge extra for AI?

Yes — no base plan includes it. Brain AI is $9 per user per month billed yearly and Everything AI is $28, both charged per user on top of the seat price, with extra AI Super Credits at $10 per 10,000. On Unlimited, Brain AI lifts the effective seat cost from $7 to $16, and the add-on ends up costing more than the plan.

Is monthly or annual billing cheaper?

Annual, by a wide margin: monthly billing adds $3 per user per month on Unlimited (+43%) and $7 per user per month on Business (+58%). At 15 seats that is $540 and $1,260 more per year respectively, for exactly the same product.

Do guests or new users change what we pay?

They can. Upgrades apply to the entire workspace, so one team cannot move to a paid tier alone. Guests are free only in the sense of not consuming paid seats — the allowance is 5 guest seats on Unlimited for a workspace with one paid user plus 2 per additional paid user, and 10 plus 5 per additional paid user on Business, with read-only guests unlimited. Colleagues from inside your own organisation are billed as paid users even when added as guests, and paid users added mid-cycle are invoiced prorated for the remainder of the cycle.
