TL;DR — the short version

six vendorsyear-one billsonboarding pricedadd-on units compared

Why the headline rate is not the bill

The rate on a CRM pricing page answers one question: what does a seat cost. It does not answer what a team pays. Between the card and the invoice sit five different kinds of charge, and vendors disagree about which of them to publish, which to bury in a footnote and which to leave off the page entirely.

We priced all five at six CRM vendors, at the same seat counts and on the same billing cycle, so the comparison is like for like. The three lines that move a budget the most are required onboarding, seat floors and add-ons that are billed per company rather than per user — all three are easy to miss because none of them appear next to the seat rate they are attached to.

Vendor pricing pages, checked September–October 2026. Asana is included because the same buyers price it against a CRM; its seat blocks are the clearest example of paying for seats nobody occupies.

Year one, mid tier, same seat counts

The table below uses the second paid tier at each vendor, billed annually, with taxes excluded and no optional add-ons. HubSpot's required onboarding is added in the "onboarding" column rather than folded into the licence column, because it is a one-time charge and hiding it inside a recurring bill makes the second year look like a price cut.

HubSpot Professional$10,680$16,080$34,980$3,000 / $7,000

Annual billing, mid tier, per seat per month: Zoho CRM Professional $23, Freshsales Pro $39, monday CRM Pro $28, Pipedrive Premium $59. HubSpot Professional is $800/month including 3 core seats with each additional seat at $45/month, so 5 seats bill $890 a month and 15 seats $1,340. Checked September–October 2026; all figures exclude tax.

The one line that changes the answer: in year one HubSpot Professional at 5 seats costs $13,680 with onboarding against $10,680 for the licence, a 28% increase — and at 15 seats the same fee is worth 16%. On the cheapest tier the licence gaps between vendors are larger than the onboarding fee; on mid tiers they converge, and the fee decides.

Vendor by vendor

HubSpot — the fee is required, and the page says so

What HubSpot's pricing page states (checked September 2026): Professional is $800/month committing annually, includes 3 core seats, and carries a required one-time onboarding fee of $3,000. Additional core seats start at $45/month. Enterprise starts at $3,600/month with 5 core seats, seats at $75/month and onboarding at $7,000. Credits list at $9.00 per 1,000 on annual billing, and the AEO add-on at $50/month, $45 on annual.— hubspot.com pricing pages, checked September 2026

HubSpot is the vendor that publishes its implementation charge rather than negotiating it, which makes the fee easy to compare and easy to forget: it sits in a footnote under the plan card, not in the price. Two further lines move the annual number: Starter's $7 promotional rate reverts to a $20 list at renewal, and included credits (3,000 on Professional) are a monthly allowance rather than a bank. The full breakdown is in HubSpot's pricing and hidden costs.

Pipedrive — five add-ons, all billed per company

Pipedrive's four published rates are per seat per month billed annually: Lite $14, Growth $39, Premium $59, Ultimate $79 — $168 to $948 per seat per year. What the plan table does not show is the add-on layer, which is billed per company per month rather than per user: Campaigns $13.33, Projects $16, LeadBooster $32.50, Smart Docs $32.50 and Web Visitors $41, or $135.33 a month and $1,623.96 a year for all five. Against a 5-seat Lite account at $840 a year, that is 193% of the seat bill; against 50 seats on Premium at $35,400, it is under 5%. Two more lines: implementation is free only above $400 a year, and prices exclude VAT. The tier-by-tier detail is in Pipedrive's pricing and hidden costs.

Zoho CRM — the projects exist, the prices do not

Zoho CRM's published rates are Standard $14, Professional $23 and Enterprise $40 per user per month on annual billing, $20/$35/$50 paying monthly, and the free edition is described as "Forever free, for 3 users" with 5,000 API calls a day, 10 free exports and 10 custom email templates. The step out of that free tier is the widest in the set — the free-tier comparison prices it at $672 a year for the fourth user, against $0 for the first three. The unpriced lines are the interesting ones: paid support plans are mentioned without a price, as are two implementation projects, while the page header advertises "Free Onboarding" — and "Local taxes may apply" appears twice. The Ultimate edition is described in the pricing FAQ and priced nowhere. See Zoho CRM's pricing and hidden costs for the full table.

Freshsales — an add-on that never gets the annual rate

Freshsales bills Growth $9, Pro $39 and Enterprise $59 per user per month annually, and both its add-ons cost the same in either cycle: Branded documents at $19 per user per month and the Freddy AI Agent at $49 per 100 sessions. That is the sharpest per-user example we have measured — at 15 users the branding add-on alone is $3,420 a year against $1,620 for the seats themselves, so an add-on intended to decorate documents bills 2.1x the licences. The tier step is equally steep: entry to second tier is a 4.3x multiple, $5,400 more a year at 15 seats. Detail in Freshsales' pricing and hidden costs.

monday CRM — three seats minimum, then a quote wall

monday CRM publishes $12, $17 and $28 per seat per month on annual billing for Basic, Standard and Pro, and prints the month-to-month rates beside them ($18, $25 and $41), which is more than most of this set does. The floor is the hidden line: paid plans start at 3 seats, so a two-person sales team is billed for a third seat — about $432 a year at the entry annual rate — and the pricing FAQ sends requests above 40 users to a quote form, which is where self-serve comparisons stop. Against Pipedrive's single-seat $168 a year, the floor is the trade. The two vendors head to head: monday CRM vs Pipedrive.

The same pattern on the project side

The mechanics repeat in project tools, which most CRM buyers price in the same evaluation. Asana sells seats in blocks of 1, 5, 10, 25 and 50, so a 31-person account is billed for 40 seats — nine of them unused at $1,186.92 a year on Starter's annual rate. Wrike's self-serve checkout stops at 15 users, and a sixteenth person moves the plan from $150 to $400 a month, +167%. ClickUp's AI is a per-seat add-on: Brain AI at $9/user/month lifts its $7 Unlimited seat to an effective $16. monday.com's own pricing cards now add an AI credit bundle to every plan and then discount it back — the same printed allowance that sits inside our monday.com cost calculator.

Four questions that surface the rest

  1. Is onboarding required at this tier, and what does it cost? If the answer is "it depends on the partner", the fee is a negotiation, and you should get it in writing before you choose a seat count.
  2. What is the smallest bill you can pay? Ask for the 1-seat or 3-seat total, not the per-seat rate. A floor turns "$28 a seat" into $84 a month.
  3. Which add-ons are billed per company, and which per user? The first gets cheaper per head as you grow; the second does not. Ask for both numbers at your current headcount and at double it.
  4. What is metered, and what does the meter cost after the included allowance? Credits, sessions and API calls all reset monthly rather than accumulating, so unused allowance is not a bank.

Who should not pay for any of this

Teams under five seats that do not need automation. Above the free tiers, the cheapest line in this set is a single Pipedrive seat at $168 a year or Zoho CRM's free edition at three users; Zoho's Bigin is the other $0 entry point in the market, and its free tier stops at one user and 500 records. Paying for a mid tier to get one feature usually means paying for a seat floor, an onboarding fee and an add-on set you will not use.

Teams that cannot answer "who owns the CRM?" Onboarding fees buy configuration and a data migration. If nobody internally owns the data model, the fee buys a project that stalls, and the next vendor charges for the same work again.

Teams that have already renewed an annual contract. Cancelling mid-term typically returns nothing, so the honest move is to use the remaining term to migrate in parallel rather than to switch urgently and pay twice. The cost of that decision is worked out seat by seat here — at twenty-five seats on middle tiers the parallel months are $1,550 to $3,725 each, and an unexpired HubSpot commitment adds $13,500 that no migration plan recovers.

FAQ

What is the biggest hidden cost on a CRM pricing page?

Required onboarding. HubSpot states a mandatory one-time fee of $3,000 on Professional and $7,000 on Enterprise, which is 28% of the first-year licence bill at 5 seats and 16% at 15. Zoho CRM publishes no price at all for its paid support plans or for its Jumpstart and Zoho EBS implementation projects.

Which CRM charges per company instead of per seat for add-ons?

Pipedrive. Campaigns $13.33, Projects $16, LeadBooster $32.50, Smart Docs $32.50 and Web Visitors $41 per company per month — $135.33 a month, $1,623.96 a year for all five, which is 193% of a 5-seat Lite licence and under 5% of a 50-seat Premium licence.

Do CRMs have seat minimums?

Some do. monday CRM starts paid plans at 3 seats (about $432 a year at its entry annual rate) and sends requests above 40 users to a quote form. Pipedrive publishes no floor and sells a single seat at $168 a year; Zoho CRM's free edition covers three users before the first paid seat is billed; Freshsales publishes no minimum and its smallest paid account is one seat at $108 a year.

Are add-ons ever discounted on annual billing?

At Freshsales, no — Branded documents bills $19 per user per month and the Freddy AI Agent $49 per 100 sessions in either cycle, so at 15 users branding alone is $3,420 a year against $1,620 for the seats. HubSpot's do carry an annual rate: Credits $9.00 per 1,000 on annual billing, AEO $45 a month on annual against $50 monthly.

How do I compare two CRMs fairly?

Fix the tier, the seat count and the billing cycle, then add the mandatory lines in order: required onboarding, seat floors and blocks, add-ons the tier forces, then metered AI. Everything optional is a budget line rather than a comparison line. The published seat rate for each of these vendors, and what the same ten and twenty-five seats bill on every tier, is laid out in what CRM software costs. The CRM cost calculator runs the seat math on both billing cycles for eight vendors, and the pricing change tracker records the date every figure was last verified.
